How it works

Enter when setup starts, when doors open, when the event ends and when teardown is done, then list your roles and how many people each needs at once. The planner gives setup and teardown crews their whole window, splits the event into shifts of the length you choose with a handover overlap, totals the shift slots, and adds a no-show buffer to tell you how many people to recruit. Print a sign-up sheet with blank name and phone lines, or download it as a spreadsheet.

Questions

How long should volunteer shifts be at a church event?

Two to three hours is a good default. Shorter shifts are easier to recruit for and keep volunteers fresh and warm with guests; longer than three hours, attention drops. Overlap shift changes by ten to fifteen minutes so a post is never left empty.

How many extra volunteers should I recruit for no-shows?

Plan for some absences — a buffer of around 10 to 20 percent of your shift slots is a common starting point, more in winter or for outdoor events. The planner adds the buffer you choose to every role.

Does this replace a sign-up system?

It gives you the schedule and a sign-up sheet to print or share as a spreadsheet. Your plan is saved in your browser only; nothing is sent to us.
