How it works
Enter your expected guests and event type, and the calculator builds your team station by station — general coverage, welcome, food service, children's area and floaters — then multiplies by shifts and adds a no-show buffer, so you know how many people to actually recruit.
Questions
How is the volunteer number calculated?
It starts from a guests-per-volunteer ratio for your event type, then adds stations that need fixed staffing regardless of crowd size — welcome, food service, a children's area and floaters. That per-shift total is multiplied by the number of shifts, then divided by one minus your no-show rate to give the number to recruit.
Why recruit more volunteers than I need?
Because a share of sign-ups will not show — fifteen to twenty per cent is a reasonable assumption for commitments made more than two weeks ahead. Too many volunteers means a slightly quiet hour for some; too few means queues, burnout and people who do not sign up next time.
What are floaters and do I really need them?
Floaters are two or three volunteers with no fixed station. They cover the spill, the lost child and the swamped station. Teams that cut them to fill fixed roles end up pulling people off those roles anyway.
